Club Officer Roles

Role of the President

1. Responsible for club growth, direction, and leadership

2. Serve as presiding officer at club meetings

3. Match mentors with mentees

4. Call any required business and officer meetings

5. Support other officers in duties

6. Monitor goals from International and ensure our club achievements reach our potential

7. Vote by proxy for national elections

8. Meet twice a year with Area Governor

9. Complete semi-annual report to International Toastmasters

10. Coordinate officer training for incoming & outgoing officers

Role of the Educational Vice President

1. Prepare initial meeting agenda & distribute final agenda at meeting

2. Serve as presiding officer in president’s absence

3. Recognize individual and club educational accomplishments (awards, etc.)

4. Serve as Contest Chairman for all club contests

5. Sign manuals upon individual speech completion

6. Send a reminder to scheduled speakers one week before meeting

Special Note: The Toastmaster for each meeting will be responsible for any changes made to the meeting agenda (speaker out sick, etc.). You need to be sure to send a notice to all members as well as add this to the end of each agenda so everyone will know and remember to contact the Toastmaster & not you.

Role of the Vice President of Membership

1. Devise strategies for membership growth (competitions, etc.)

2. Greet visitors at meeting and make sure they are welcomed and introduced to other members

3. Send email to visitors thanking them for attending & inviting them back or letting them know they were missed if they did not attend

4. Send a visitor packet with an application to each visitor

5. Responsible for New Member Orientation (Sgt.-at-Arms to assist)

Role of the Vice President of Public Relations

1. Obtain a list of names of each club visitor

2. Send email to visitors thanking them for attending & inviting them back

Note: This is redundant for VP-Membership, but is very important!

3. Responsible for any club meeting advertisements (posters, web, etc.)

4. Keep web page up-to-date especially with meeting dates and locations as well as officer contact information

Role of the Sergeant-at-Arms

1. Set up room before meeting (sign, banner, lectern, etc.)

2. Reserve room for each meeting

3. Begin meeting on time

4. Assist VP-Membership with New Member Orientation

5. Email list of meeting visitors to officers

Role of the Secretary

1. Maintain master membership record (current roster)

2. Send roster to members at least once per quarter and update contact information

3. Turn in new member applications and changes of address to International

4. Order Toastmaster supplies

5. Maintain club correspondence

6. Keep minutes of each meeting for secretary’s notebook and make available to members as needed

Role of the Treasurer

1. Responsible for obtaining and updating bank signature card as required (officer on account leaves club, etc.)

2. Manage the club checking account

3. Collect payable dues and fees and submit new member applications

4. Turn in all payments to International on time

5. Pay all bills when due

6. Coordinate funds for supply ordering with secretary

Role of Immediate Past-President

1. Technical Resource

2. Provide lessons learned.

3. Chair Nominating Committee.

4. Promotes club’s efforts to become a Distinguished Club.

5. Prepare your successor for office.
